How ShiftworkQ collects, uses and protects information across the platform.
ShiftworkQ is a workforce management platform operated by Qubit3 Technologies LLP, D404 Sky Heights, Pisoli, Pune 411060, Maharashtra, India (“ShiftworkQ”, “we”, “us”). This policy explains what information we handle, why, and the choices you have.
ShiftworkQ is used by organisations (our “Customers”) to run HR, payroll, recruitment, timesheets and billing. Where we handle employee information on a Customer’s behalf, that Customer is the controller and we act as a processor.
When you create or administer an account, we collect your name, work email, organisation, role and authentication details.
To provide the service, our Customers input employee records — such as profiles, designations, salaries, timesheets, leave, documents and payslips. We process this on their instructions.
We do not sell personal information, and we do not use Customer workforce data for advertising.
For account and usage data, we act as controller and rely on legitimate interests, contract performance and legal obligation as applicable. For workforce data, our Customers determine the purposes and are responsible for having a lawful basis and for informing their employees.
We retain account data for as long as your account is active and as needed for legal and accounting purposes. Workforce data is retained per the Customer’s configuration; soft-deleted records may be restorable for a limited window before permanent deletion. On termination, Customer data is deleted or returned per our agreement.
We use encryption in transit, role-based access controls, granular permissions and audit logging. See our Security page for detail. No system is perfectly secure, so we cannot guarantee absolute security.
Data is hosted in data centres selected for reliability and security. Where information is processed outside your country, we take steps to ensure appropriate protection consistent with applicable law.
Subject to applicable law (including India’s Digital Personal Data Protection Act, 2023), you may request access, correction, updating or deletion of your personal data, and may withdraw consent where processing relies on it.
If you are an employee of one of our Customers, please direct such requests to your employer, who controls that data; we will assist them as processor.
ShiftworkQ is a workplace tool intended for use by organisations and adults. It is not directed to children, and we do not knowingly collect data directly from anyone under 18.
We may update this policy from time to time. Material changes will be posted here with a revised date, and where required we will notify you.
